Alternate Methodology for Doing BPR

After identifying, documenting and studying business the processes of the oraganization, you can use any of following 3 approaches for the redesign phase rather than going for the redesigning of all the processes in a single go.
1. Dysfunction: which processes are in the deepest trouble?
2. Importance: which processes have the greatest impact on customers?
3. Feasibility: which processes are the most susceptible to re-design?
If there is no need of redesign then you can go for process improvement (TQM and Kaizen).

Key in BPR is Breakthough Improvement and Drastic Changes

I agree that there are many methods for process improvement. But, BPR expects breakthrough improvement and changes drastically. But the systems like Kaizen and TQM are done in a systematic slow pace and takes longer time for implementation. Kaizen addresses a small improvement only that need not solve a problem but makes some improvement in the process.

Our BPR Variant

Thank you Asif and Raj. In the mean time I found a whole variety of methodologies to write processes, policies and procedures.
- My first step has been to start fresh from scratch and teach all executives and department heads to write policies and procedures and to differentiate between a policy and a process.
- With this common structure they are now rewriting their policies and procedures. Even though the process takes longer, once it finishes they will all have a common ground to work and interact with other departments.
I am really happy with the outcome so far. I may even write a paper on the details of the methodology I created. It is very simple and non invasive in the sense that they can continue with their daily tasks and dedicate one or two hours a week to this BPR project.

It's nice, that you have started your exercise from scratch, you and people in your organization will learn a lot, and I am hopeful that with your dedication you can achieve 100% improvement.

Is There an Alternative to BPR?

Of course there are alternatives to BPR - and so there should be, because not all change needs to be 'fundamental' or 'dramatic'.
What I object to is the failure to ask the question "Should BPR be used in this instance?" - often because those involved in facilitating the change cannot be bothered to do some of the difficult work.
For me there is always the issue of smaller (Kaizen? TQM?) change projects making more dramatic and radical change impossible in the longer term. Typified in the classic "We can't do that because we have just spent £xxx doing something else".

Alternative to a BPR: Reata

I just finished a 6 months program dedicated to develop skills of how to do a BPR, I can tell that a BPR not always involves a mayor change and you can actually do this as many times you want. Identify your level 0 map then identify which process generate more pains to your company, from those process select those that affect your customer.
Those are the first steps but for more details I recommend you to read about Reata, I don't know if you can find it in English. It is a technique developed by a group of experts at Tecnologico de Monterrey-Mexico. This method really opens your mind of what BPR is, and we should not be afraid of doing it.

Reata, a New Way of Doing BPR

@Jaap de Jonge:
- The Reata methodology starts with the company strategy.
- Then you define the level 0 process map
- From there you select one process.
- You can use brown paper technique or white paper technique. My recommendation is to use brown paper, you have to group all those involved in the process and then diagram the process as it is.
- We used post its of different colors, for example yellow for activities, purple whenever there is a change in the responsible, green for documents and whatever you want to diagram.
- Once you have the process, identify how many times the responsibility changes, then ask the people to identify where it hurts, you can use sad faces to identify so.
- Once that's done comes the interesting part: make then think and say the craziest things to remove the pains, this part may take a while.

Alternatives to BPR

Whatever process you follow, it is leading to change (transformation). I recommend you keep your resources in mind and what you really want to achieve, and you will find your approach.
It could be Organizational Development, Innovation, Benchmarking, ERP, TQM, BPR, Six Sigma. You may need to integrate two or more to satisfy your need.
PS: Don't forget strategic planning :-).
