Benchmarken is een systematisch hulpmiddel dat een bedrijf in staat stelt om te bepalen of zijn prestaties op het gebied van organisatorische processen en activiteiten in overeenstemming zijn met de best practices. Benchmarkingmodellen zijn handig voor het bepalen van hoe goed een business unit, een afdeling, een organisatie of een bedrijf presteert in vergelijking met andere gelijksoortige organisaties. Een benchmark is een referentiepunt voor een meting. De term „benchmark“ komt vermoedelijk voort uit de praktijk van het maken van dimensionale hoogtemetingen van een voorwerp op een werkbank (Eng: bench), gebruikmakend van een graduele schaal of soortgelijk hulpmiddel, en gebruikmakend van het oppervlakte van de werkbank als basis voor de metingen (Eng: mark).

Het benchmarken van bedrijven is verwant met Kaizen-filosofie en concurrentievoordeel-denken.

Van oudsher worden de metingen van de prestatie vergeleken met eerdere metingen van dezelfde organisatie op andere momenten. Hoewel dit een goede aanwijzing van het tempo van verbetering kan zijn binnen de organisatie, zou het wel kunnen zijn dat de concurrentie sneller verbetert...

Vijf soorten Benchmarken

1. Interne benchmarking (benchmark binnen een bedrijf, bijvoorbeeld tussen business units)
2. Concurrerende benchmarking (het benchmarken van een prestatie of van processen met concurrenten)
3. Functionele benchmarking (het benchmarken met gelijksoortige processen binnen de industrie)
4. Generieke benchmarking (het vergelijken van operaties tussen niet-verwante industrieën)
5. Collaboratieve benchmarking (wordt gezamenlijk uitgevoerd door groepen bedrijven (b.v. dochterondernemingen van een multinational in verschillende landen, of binnen een brancheorganisatie).

Typische stappen in een benchmarkproces

• Definitie van het werkingsgebied
• Kies benchmarkpartner
• Bepaal meetmethodes, -eenheden, -indicatoren en de manier waarop de gegevens worden verzameld.
• Verzameling van de gegevens
• Analyse van de discrepanties
• Presenteren van de resultaten en bespreking van de implicaties / verbeteringsgebieden en -doelstellingen
• Maak verbeterplannen of nieuwe procedures
• Controleer de vooruitgang en plan verdere benchmarks.

De kosten van benchmarken

Er zijn kosten verbonden aan benchmarking, hoewel vele bedrijven vinden dat het zichzelf terugbetaalt. De drie belangrijke soorten kosten zijn:

• Bezoekskosten - Dit omvat hotelkamers, reiskosten, maaltijden, presentjes, en verloren arbeidstijd.
• Tijdskosten - De leden van het benchmarkingteam zullen tijd investeren in het onderzoeken van problemen, in het vinden van uitzonderlijke bedrijven om te bestuderen, in bezoeken, en in implementatie. Dit zal hen gedeeltelijk afhouden van hun normale dagelijkse taken; extra personeel kan dus nodig zijn.
• Kosten van de Benchmarkingdatabase - Organisaties die benchmarking in hun dagelijkse procedures institutionaliseren vinden het nuttig om een gegevensbestand te creëren en te onderhouden van de best practices en van de ondernemingen die geassocieerd zijn met iedere best practice.

Beperkingen van benchmarken

• Benchmarking is een taai proces, dat behoorlijk wat commitment vergt om te slagen.
• Tijdrovend en duur.
• Meer dan eens benchmarkend projectendoel met „zij zijn verschillend van ons“ syndroom of de concurrerende gevoeligheid verhindert de vrije stroom van informatie die noodzakelijk is.
• Vergelijken van prestaties en processen met „kampioenen op dit gebied“ is belangrijk, en zou idealiter (de concurrentie verbetert ook zijn processen…) doorlopend moeten worden uitgevoerd.
• Is het succes van het doel van het bedrijf werkelijk toe te schrijven aan de praktijk die gebenchmarkt is? Zijn de bedrijven vergelijkbaar wat betreft strategie, grootte, model, cultuur?
• Wat zijn de nadelen van het overnemen van een bepaalde handelswijze?
